Kneadspace Terms of Service
Last updated: September 2026
These terms are the agreement between Kneadspace (“we,” “us”) and you for our website, the Kneadspace app, and every booking page, form, message, and payment we run for a practice. Our Privacy Policy explains how we handle information and is part of these terms.
Who these terms cover
- Practices — the therapists, owners, and staff who run a practice on Kneadspace. By creating a practice account, or accepting an invitation to join one, you agree to these terms for yourself and, if you are the owner, for the practice.
- Clients — the people who book, join a waitlist, fill in a form, pay, or message a practice through Kneadspace. By doing any of those you agree to these terms.
Some sections apply to one group only and say so. You must be at least 18 to hold an account or book; a parent or guardian may book and complete forms for a minor.
The service
Kneadspace is software: scheduling, a waitlist, intake forms, client records, checkout, memberships, gift cards, messaging, and a front desk. The practice is your provider. Kneadspace is not a healthcare provider, does not employ or supervise practitioners, does not give medical advice, and is not a party to the appointment between a client and a practice. Appointments, services, prices, deposits, cancellation and no-show fees, refunds, and the quality and safety of care are the practice’s alone. Massage and bodywork are not a substitute for medical care; tell your practice about relevant health conditions and consult a physician for medical concerns.
Accounts and security
Staff sign in with an email address and password, an emailed link, a passkey, or Google. A practice can require a second step at sign-in for its whole team. Clients sign in with an email address and password or an emailed link. Keep your credentials to yourself, use a second step where offered, and tell us at once at hello@kneadspace.app if you think an account has been used without permission. You are responsible for what is done through your sign-in until you tell us. Give us accurate information and keep it current.
Booking through a practice (clients)
- An appointment is confirmed when the practice’s booking page says so; some practices review requests first.
- A practice may hold your time with a deposit or a card on file, and may charge the cancellation or no-show fee it shows you at booking. You may cancel or reschedule free of charge until the practice’s stated cancellation window; inside it, or if you miss the appointment, the fee shown at booking may apply. A practice may waive it, for example when it fills your spot from the waitlist.
- Memberships renew on the schedule the practice shows when you enroll, with the credits, rollover, and cancellation rules on the plan you chose; you can end one from your account or by asking the practice.
- Gift cards are issued by the practice, redeemable only with that practice, and are not refundable for cash except where the law requires.
- A waitlist opening is offered to you for a limited time and is yours only once you claim it.
Payments
Payments are processed by Stripe. When you pay a practice, the charge is made to the practice’s own Stripe account under the practice’s name; Kneadspace does not hold your money and never sees your full card number. By saving a card or paying, you authorize the charges the practice disclosed to you — deposits, balances, membership renewals, tips, and any cancellation or no-show fee. Refunds and disputes are between you and the practice, which issues them through Stripe. Practices pay Kneadspace the subscription and any usage fees shown on our pricing page or in their order, in advance, by card through Stripe; fees change only with notice before the next renewal.
Practice obligations (practices)
- Keep your listing, services, prices, policies, and availability accurate, and disclose deposits and cancellation fees before a client books.
- Use Kneadspace lawfully and within your licence; you are responsible for your staff and for everyone you invite to your account.
- You decide what to collect from your clients and why, and you are responsible for having the right to collect it, for telling clients how you use it, and for answering their questions and requests; we help you respond. Only ask for the health information you need to provide care.
- Send marketing only to clients who agreed to receive it, honor every unsubscribe, and keep your postal address in the app current — it appears on your marketing email.
- Keep your own records for as long as your licensing rules require; Kneadspace stores them while your account is open.
- Kneadspace is not a HIPAA covered entity or business associate and does not sign Business Associate Agreements. If your practice is subject to HIPAA, do not store protected health information in Kneadspace.
- Do not use Kneadspace to collect information from anyone under 13.
Text messages (SMS)
Program: Kneadspace appointment texts. Kneadspace sends the texts about bookings made through Kneadspace booking pages; each message starts with “Kneadspace:” and is about your own booking.
Message types: booking confirmations, appointment reminders, schedule changes, intake-form reminders, and waitlist openings you asked to hear about. These are informational messages about appointments you booked or requested. Messages may include links to manage your appointment or claim an opening. The program sends no marketing or promotional texts.
Consent: you join by choosing Text as your contact method, giving your mobile number, and ticking the consent box shown right under that choice on a Kneadspace booking page, waitlist form, or in your client account. The box is never pre-ticked; its label is:
Yes, text me about my bookings. I agree to receive appointment and waitlist texts from Kneadspace regarding my scheduled sessions. Message frequency varies. Message and data rates may apply. Reply STOP to opt out, HELP for help. Consent is not a condition of purchase.
Consent to receive text messages is not a condition of purchase or of booking an appointment. Choosing Email means no texts. The consent box is separate from any other agreement on the page: accepting a practice’s cancellation policy, these terms, or the Privacy Policy never opts you in to texts.
How consent is collected: on the booking page’s “Your details” step the client chooses Text as the contact method, enters a mobile number, and ticks the unchecked consent box above the confirm button. You can see the step live at https://www.kneadspace.app/book/demo?preview=sms-opt-in (opens the booking page directly on the consent step; nothing is booked), as a screenshot at https://www.kneadspace.app/compliance/sms-opt-in-booking.png, and the messages the program sends, rendered from the templates, at https://www.kneadspace.app/compliance/sms-sample-thread.png.
Message frequency varies with your appointment activity — a typical visit produces a confirmation and the reminders your practice has switched on. Message and data rates may apply.
Opting out: replying STOP to any message stops all messages, at any time. You will receive one confirmation and no further messages:
Kneadspace: You're unsubscribed. No further texts will be sent. Your appointments are unchanged; contact your practice. Reply START to resubscribe.
STOP stops all texts from Kneadspace; to receive texts again choose Text and tick the box on your next booking.
Help and support: replying HELP returns support details, and you can always email hello@kneadspace.app:
Kneadspace appointment texts. Help: hello@kneadspace.app. To change a booking, use the link we texted you. Msg & data rates may apply. Reply STOP to opt out.
If you reply START after opting out, you will be re-subscribed and receive:
Kneadspace: You're subscribed to appointment texts. Msg frequency varies. Msg & data rates may apply. Reply HELP for help, STOP to opt out.
Carriers: the program is compatible with major US carriers. Carriers are not liable for delayed or undelivered messages.
Privacy: your mobile number and opt-in data are handled as described in our Privacy Policy; they are never shared with third parties or affiliates for marketing or promotional purposes.
Email and notifications
We send service email — confirmations, reminders, receipts, sign-in links, form requests, and replies — to run your appointments and account. Marketing email from a practice goes only to its own clients and carries an unsubscribe link that works with one click. Replies to a practice’s email land in its Kneadspace front desk.
AI front desk
A practice may switch on an automated assistant that answers chat and email from its clients using the practice’s services, policies, and FAQ, or set it to draft replies for a person to send. Automated replies can be wrong; they are not medical advice, they cannot promise an appointment that the calendar has not confirmed, and the practice is responsible for reviewing them and for what it sends. If an answer matters, confirm it with the practice. Practices that use AI note-drafting or summaries must review every draft before relying on it.
Acceptable use
Do not use Kneadspace to break the law, to harass or deceive anyone, to send messages people did not agree to receive, to book time you do not intend to use, to probe or overload our systems, to scrape or copy the service, or to access another practice’s or client’s information. We may remove content and suspend or close accounts that do.
Your content and ours
Practices own what they put into Kneadspace — listings, images, policies, forms, notes — and clients own what they submit. You give Kneadspace a licence to host, copy, display, send, and process that content only as needed to run the service for you, including showing a practice’s public listing and messages to its clients. Kneadspace owns the software, the design, and the Kneadspace name and marks; you may not copy them or use them without permission. If you send us suggestions, we may use them without obligation.
Third-party services
Kneadspace runs on services we do not control, including Stripe for payments, Google for sign-in, Calendar, and Business Profile, Resend for email, and Telnyx and Twilio for texting. A practice that connects its Stripe or Google account agrees to those providers’ terms and is responsible for its account with them. We are not responsible for a third-party service being unavailable or changing.
Disclaimers
Kneadspace is provided “as is” and “as available.” To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement, and we do not promise that the service will be uninterrupted, error-free, or that every reminder, text, or email will arrive. We make no promise about any practice, practitioner, or the care you receive.
Limitation of liability
To the fullest extent the law allows, Kneadspace is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost revenue, data, or goodwill, arising from the service or these terms, however caused. Our total liability for all claims in any twelve-month period is limited to the greater of the fees the practice paid Kneadspace in those twelve months or one hundred US dollars (US$100); for a client, one hundred US dollars. Some states do not allow these limits, so they may not apply to you.
Indemnity (practices)
A practice will defend and hold harmless Kneadspace from claims, losses, and costs, including reasonable legal fees, arising from the practice’s services and care, its content, its use of client information, its messages, or its breach of these terms or the law.
Ending the agreement, export and deletion
A practice may close its account at any time; a client may ask a practice or us to delete their account. We may suspend or close an account for non-payment, for a breach of these terms, or where the law requires, with notice where practical. Before or within 30 days after closing, a practice may ask for an export of its data in a common format; after that we delete or de-identify its data as the Privacy Policy describes. Sections that by their nature should survive — content licences for records already sent, disclaimers, limitation of liability, indemnity, and disputes — survive closing.
Governing law and disputes
These terms are governed by the laws of the State in which the company that operates Kneadspace is organized, without regard to conflict-of-laws rules. Before starting any claim, write to us at hello@kneadspace.app; we will try to resolve it with you within 30 days. Any claim that cannot be resolved that way will be brought only in the state or federal courts of that State, and only on an individual basis, not as a class or representative action; you and we each waive a jury trial to the extent the law allows. Nothing here limits either party’s right to bring an individual claim in small-claims court, or a consumer’s rights under a law that cannot be waived.
Changes
We may update these terms. The date at the top shows the current version; for a material change we will notify practices by email or in the app before it takes effect, and continuing to use Kneadspace after that is acceptance.
